Privacy notice

How Steor Learning Services collects, uses and looks after information about learners and their families.

Who is responsible for your information
Steor Learning Services is a sole trader business run by Monique de Comarmond, who is the data controller for the information described here. You can reach her at monique@steorlearningservices.co.uk.

What is collected

When you send an enquiry

  • Your name and email address
  • The subject you are enquiring about
  • Whatever you choose to tell us about your learner in the message

When you complete an Initial Learning Profile

  • Learner details: name, preferred name, date of birth, school or education setting, year group
  • Parent or carer details: name, relationship to the learner, email address, home address, emergency contact number
  • Information about how your learner learns, what they enjoy, what they find difficult and what helps them
  • Health information, including diagnoses, medical conditions, allergies, medication, and whether your learner has an EHC Plan
  • Details of other professionals involved in supporting your learner
  • Practical information about the equipment available for online sessions

Some of this is what data protection law calls special category data, because it concerns health. It is collected only because it is genuinely needed to teach your learner safely and well, and it is never used for marketing.

While tuition is running

  • Session records: what was covered, how it went and what comes next
  • Attendance and scheduling information
  • Audio recordings of sessions, made for recap and revision purposes
  • Any reports or plans you choose to share, such as an EHC Plan or an Educational Psychologist report

Why it is used

  • To decide whether Steor Learning Services can meet your learner’s needs
  • To plan and deliver personalised tuition
  • To report progress back to you
  • To keep your learner safe, including acting on any safeguarding concern
  • To meet legal, tax and insurance obligations

The lawful bases relied on are your consent, the performance of a contract for tuition, and legitimate interests in running the service. For health information, the additional condition relied on is your explicit consent, given when you complete the Initial Learning Profile. You can withdraw consent at any time by emailing Monique.

Who else sees it

Information about your learner is not sold, and it is not shared for marketing. It may be handled by:

  • Netlify, which hosts this website and receives form submissions before passing them on by email
  • Microsoft, whose Teams software is used to deliver sessions and store recordings
  • Professional advisers, insurers or an accountant, where genuinely necessary

The one exception to confidentiality is safeguarding. If there is a concern that a child is at risk of harm, information will be shared with the appropriate authority, such as the child’s school designated safeguarding lead, the local authority or the police. Where it is safe and appropriate to do so, you will be told.

How long it is kept

  • Enquiries that do not lead to tuition: deleted within six months
  • Learner records and session notes: kept while tuition is ongoing and for a reasonable period afterwards, then securely deleted
  • Session recordings: kept only as long as they are useful for recap and revision, then deleted
  • Financial records: kept for six years, as tax rules require

Your rights

You have the right to ask for a copy of the information held about you or your learner, to have it corrected, to have it deleted, to restrict or object to how it is used, and to withdraw consent. To exercise any of these, email monique@steorlearningservices.co.uk and you will receive a response within one month.

If you are not happy with how your information has been handled, you can complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.

This website

This site does not use tracking or advertising cookies. If you turn on Calm mode, or begin an Initial Learning Profile, that is stored in your own browser on your own device so the page remembers it next time. Nothing from that storage is sent to Steor Learning Services or anyone else, and clearing your browser data removes it. You can clear a part-completed profile yourself at any time using the button at the top of that form.
